JOB DESCRIPTION

Under general direction of the Payroll and Employee Services Manager, this position is responsible for the supervision of the Payroll Specialist team and ensuring that all Payroll processes are executed appropriately and in a timely manner. Interprets day to day business objectives and prepares/executes the operational practices/work programs. Position serves as information resource for Employee Services, employees, and management throughout the company.

• Directs the workflow activities for three weekly payrolls to ensure accurate and timely processing and pay. Ensures the accuracy in handling the coding and posting of hourly employees’ time, processes pay adjustments, makes salary payments, processes supplemental payments, voids checks if needed, processes statutory and voluntary deductions, processes direct deposits, and records expenses
• Troubleshoots, as necessary, error reports during production and makes necessary adjustments where required. Acts as backup for all Payroll Specialist duties
• Oversight responsibility for the processing of weekly adjustments to contractor pay which requires knowledge of State Overtime regulations and calculation of affected spread for internal employees
• Accountable for supervision of the payroll staff
• Responsible for: staff training, coaching, regular performance feedback, annual performance review, determination of bonus criteria, monitoring of Overtime (OT) usage, conducting weekly team meetings to include agenda development and identification of potential guest speakers
• Participates in the interview and hiring process
• Other Payroll related functions to include but not limited to: Garnishments – management of garnishment distributions to third party vendor, responding to inquiries and troubleshooting problems; Spread and Commissions – act as escalation point resource for disputes from field to research problems and determine what occurred, what should have occurred and follow up action if needed; Legal and Corporate Requirements – maintenance of files and records as required; Customer Service – through communication and coordination with Employee Services Specialists, Internal employees and Management provide superior customer service involving error corrections and issues, ensuring data integrity and adherence to Corporate policy and procedures
• Responsible for testing of weekly payroll processes relating to system upgrades/change
• Working with Business Process Group and IT to identify potential issues prior to sign-off on eventual approval for moving into production

JOB REQUIREMENTS:

• Team player with initiative and self-motivation; must be able to follow written and verbal instructions as well as interpret written policies; must be flexible to accept frequent change in priorities and possess the ability to coordinate tasks under critical time demands.
• Minimum of 5 years of payroll experience, preferably in a lead or supervisory role
• Payroll Certifications preferred (FPC – Fundamental Payroll Certification/CPP – Certified Payroll Professional)
• Prior work experience with Oracle Payroll Systems a plus
• PeopleSoft HRMS experience preferred
• Solid working knowledge of Payroll processes
• Prior experience dealing with confidential and sensitive data in an ethical and professional manner
