Personal Assistant – Dublin Office
Your responsibilities
Arrange business travel for Directors (domestic and international), requiring visas, and booking accommodation
Manage complex diaries
Dealing/keeping in contact with clients, staff and other Arup Group representatives
Formatting of documents produced by others to company guidelines and handling large quantities of information, often working within tight deadlines.
Managing phone calls and videoconference
Organise internal team meetings, booking meeting rooms and arranging catering requirements.
General secretarial tasks
Work on own initiative or as part of a team and deal with administrative duties competently.
Work mainly without supervision or direction and refers upwards as necessary.
Devising and maintaining office systems
Provide cover for Reception during breaks, if necessary, providing an efficient and professional first point of contact for clients and staff alike.
Liaising with staff and other assistants both nationally and internationally.
Your Education/Profile
High school diploma, degree or equivalent education
Must have 2+ years previous experience as a Personal Assistant
Excellent knowledge of English
Excellent knowledge of MS Office software
Ability to work independently
Excellent time management as well as excellent problem-solving skills
Flexibility
Strong interpersonal skills – creative approach, communication ability, planning and organizing skills.
Ability to integrate in a constantly evolving working environment
