Role

We are currently seeking to hire a REFM Lead to join our Premises team in Dublin. The role entails responsibility for and management of a range of property and facilities related areas, all in support of the firm’s strategic business objectives.

We ideally need you to have the following on your CV:

• Property Strategy – Implementation of the firm’s medium and long term property strategies in agreement with the Partnership.
• Policies and procedures – Preparation, maintenance and implementation of all property and facilities related policies and business plans.
• Estate Management – Overall management of the firm’s property portfolio, including acquisitions, disposals, lease compliance, rent reviews, sub-letting etc. Landlord negotiations and liaison with the relevant professional and legal advisors.
• Financial Planning and Management – Preparation and agreement of annual occupancy and capital plans. Overall budget management responsibility, with monthly/quarterly tracking and reporting of budgets. Ensuring value for money through competitive bidding, benchmarking and quality reviews.
• Facilities Management – Responsibility for and management of FM team. This includes hard services; maintenance of building fabric, M&E installations, furniture etc. and soft services; catering, cleaning, security, reception/switchboard etc. In addition this area also includes; Health & Safety, moves/churn management and insurances.
• Project Management – In-house project management of minor projects, including fit-outs, refurbishments and alterations. On larger projects selecting, appointing and managing consultants as required. Overseeing contract procurement, ensuring compliance and satisfactory completion of projects.
• Space Management – Overall management of the firm’s space resources. Proposing, agreeing and implementing space standards. Planning, negotiating, agreeing and implementing space allocation and usage across the firm to ensure optimum utilisation of resources.

Your work will be varied. Below will be some of your core responsibilities:

• Qualified to degree level in related discipline would be an advantage
• Membership of an appropriate professional body
• At least 5-10 years experience in a similar role and environment
• Excellent management, team leading, interpersonal and communication skills
• Strong commercial awareness and stakeholder management skills
• Excellent drive, enthusiasm and commitment
• Proven negotiation skills
• Significant experience and proven track record of managing a complex property portfolio, staff and budgets
• A sound understanding of the legal and financial aspects of property and facilities management
• Wide experience in managing facility operations and hard & soft services
• Experience of high quality/demand facilities/services and an understanding of the management and maintenance requirements for such facilities
• Experience in the preparation and control of project programmes and the management of professional consultants
• Involvement of new build projects
• Flexible approach to working hours and locations based on Firm requirements.
