TUI Hiring for Flight Operations Admin Job at Zaventem Full Time

As a member of the Flight Operations Admin team you will act as point of contact for all administrative and organizational tasks in order to achieve the established objectives and goals of the Flight Operations department. This in accordance with internal and external guidelines.

You will support the General Manager Flight Operations and are responsible for the organization of the required meetings, contact with other TUI AOCs and other departments or the Civil Aviation Authorities as appropriate. In this role you help to create an efficient and flexible Flight Operations back office.

As Flight Operations Administrator, you’ll report to the General Manager Flight Operations TUI fly Belgium.

ABOUT THE JOB

• You provide a general administrative and organizational service in accordance to the efficient, compliant and effective operation of the Flight Operations department. Hereby you will support the General Manager Flight Operations, who acts as interlink between Flight Operations and other departments and AOCs.
• You will, on the directions of the General Manager Flight Operations, organize the TUI fly BE Flight Ops meetings in accordance with the meeting structure, prepare the required documentation and presentations for these meetings, follow up on the actions and request meeting points from all stakeholders.
• You support the General Manager Flight Operations by keeping the operational information for the Flight Crew up-to-date and – together with the Documentation & Tools Manager – by preparing operational content for publication.
• You will be responsible for the management of operational paper documents on board.
• You will facilitate (i.e. informing crew, arrange bookings etc.) the audits of the Civil Aviation Authorities and seek feedback with the relevant stakeholders when receiving the audit feedback reports.
• You will train the new Flight Operations Administrators and develop work methods and checklists to improve efficiency of training new Administrators.
• You work together with the other Administrators in the TUI fly BE Flight Operations team and report directly to the General Manager Flight Operations.

ABOUT YOU

• You are familiar (or able and willing to learn on short notice) with the operation of an airline, the flight operations procedures, business processes and training requirements of crew members (you know how to look up the details by having the appropriate references using legal and/or TUI documentation).
• You have a genuine interest in business processes, project management, meetings, people management and you have the ability to motivate and develop people.
• You understand and/or willing to learn the needs of the aviation authorities and are ready to cope with the requirement of the Belgian AOC.
• You have a genuine interest in other cultures, languages and business processes.
• You are a dedicated team player in an inclusive international organization.
• You have an interest in communications and the ability to understand the detail as well the bigger picture
• You are very fluent in the English language, including aviation terminology.
• You are fluent in or willing to learn the Microsoft Office suite, especially Word, Outlook, Teams and Powerpoint, while being able to work in Excel as a standard user.
• You can work alone and you are self-motivated if need be, but you are also able to work in a non-sterile environment with lots of people, distractions and noise, including when traveling.
• You have the ability to strike a balance between operational, strategic and commercial needs.
• You have personal credibility and the ability to gain the confidence of others.
• You are able to plan, prioritize and balance a variety of work.
• You are a logical thinker with the ability to generate ideas and alternatives.
• You are familiar or are ready to learn, as a user, the crew IT infrastructure (EFB, crew management software, …).
• You have an understanding or are willing to learn on how to use a flight operations manuals suite (OM A-B-C-D SEP and EFB manual).
• You have a basic understanding or willing to learn on how training of pilots and cabin crew is organized at TUI fly.
• You will be based in Zaventem.
• You are ready to travel as the need arises to coordinate meetings and project across the TUI AOCs.
• You will be employed based on business hours, work flexible from home, in the office and traveling.
• When there is an urgent safety or operational need, we will also need to count on you outside normal business hours. This typically happens not more than a few times per year, but if there is an operational or safety issue of urgency, our staff needs to be able to jump in and solve the issue. Recently, there has been a spike in these events due to special circumstances (Active volcano, Covid issues, Cargo operations, B737Max issues, …)
